What is the "History of Activity" list that displays in the lower pane of some records?

In WebCATS, client, contact, and counselor records include a special feature called an activity history list.  Activity history lists display in the lower pane of an open record.

Information Found in an Activity History List

Activity history lists display data that is specific to the record that is currently open. This data is not restricted by center. For example, if your program has multiple centers, you could see counseling sessions belonging to centers other than the current active center.

For client records, this list summarizes the following types of client activity:

  • Counseling sessions (if a client participates in a counseling session that multiple counselors are assigned to, that counseling session will be listed multiple times in the client's activity history list)
  • Awards
  • Investments
  • Milestones
  • Survey responses
  • Conferences attended
  • Any user-defined client activity (i.e. custom session types created via the Custom Activity Forms Module)

For contact records, this list summarizes the following types of contact activity:

  • Attendee lists that the contact is a member of (regardless of whether conference was actually attended)
  • Inquiries
  • Survey responses

For counselor records, this list summarizes the following types of counselor activity:

  • Counseling sessions (if a counselor participates in a counseling session that multiple clients are assigned to, that counseling session will be listed multiple times in the counselor's activity history list)
  • Other client activity records (e.g. counseling session, award, milestone, investment, etc.) that the counselor is assigned to
  • Inquiry records that the counselor is assigned to
  • Narrative records that the counselor is assigned to
  • Conferences that the counselor instructed

Each listing in an activity history list can be expanded to display additional information about the activity. In addition, you can expand all listings at once by clicking the Expand All button located at the bottom of the list, as shown next.

Filtering and Reporting on the Records in the Activity History List

Similar to all record summary views, you can filter and/or report on the records displayed in the activity history list, as shown next. For more information on filtering record summary views, see the FAQ devoted to this topic.

Creating New Records from the Activity History List

If you're viewing the activity history list for a client record, you can use the list's Add field to quickly create a new activity record for the client, as shown next.
